Open source is a real advantage, not a talking point

Snipe-IT is genuinely good software with a long track record and a community that has kept it healthy for years. Self-hosting means your asset data sits on infrastructure you control, which for some organisations is not a preference but a requirement — a regulator, a security policy, an air-gapped environment.

If that describes you, this comparison is already over and you should use Snipe-IT. We are not going to argue someone out of a constraint they do not control, and a managed SaaS is not a substitute for data residency you are obliged to provide.

When the licence saving stops being a saving

For everyone else, the question is what self-hosting actually costs. The licence is zero. The server is not, the backups are not, the upgrades are not, and the person who does all three is definitely not.

None of these are large individually. Together they are a recurring claim on someone technical, and that person usually has a day job. The failure mode teams describe is not dramatic: the instance drifts a few versions behind, an upgrade gets postponed because it needs a maintenance window, and eventually nobody wants to touch it. The system still works; it just stops improving, and nobody has tested a restore.

That is the point at which the arithmetic flips, and it flips on staff time rather than on features.

Mobile is the biggest functional gap

Snipe-IT is a web application first. That is entirely reasonable for a device estate managed from a desk: laptops are assigned at onboarding and recovered at offboarding, and both happen where there is a keyboard.

It fits badly when updates happen on foot. Walking a site scanning items, issuing equipment at a counter, counting a stockroom in a basement with no signal — these want a native app with an offline queue, not a browser form. Stackroom's mobile app records scans, checkouts and returns locally and syncs when a connection returns.

If most of your interactions are at a desk, this gap will not affect you. If most of them are not, it is the whole comparison.

Outgrowing IT

Snipe-IT's model is shaped around IT: assets, licences, accessories, consumables, assigned to users. Once facilities, labs, AV or field operations want to use the same register, the shape strains — those teams need bookings with availability, condition tracking, inspection schedules and departmental separation.

Stackroom is built to hold laptops, instruments, tools and staging in one register, with departments so each team manages its own without wading through everyone else's. Whether that matters depends on whether anyone outside IT has asked yet.
