The feature lists overlap more than the experiences do

Put the two feature matrices side by side and they look similar: both have custody, bookings, maintenance, audits, custom fields, roles and a mobile app. The matrix is not where these tools differ.

EZOfficeInventory is a platform that asks to be configured. That is a genuine strength when you have an unusual process and someone whose job includes owning the system — you can model a great deal, and the result fits you rather than the other way round. It is a genuine cost when nobody owns it, because the configuration phase does not end on its own.

Stackroom takes the opposite position: opinionated defaults that work on the first afternoon, with custom fields, roles, departments and hierarchical locations for the parts that genuinely vary between organisations. You give up the ability to model a bespoke approval chain. You get a system the people issuing equipment are using by Thursday.

Where per-asset pricing bites

Asset-count tiers are common in this category and they are not unreasonable — more assets is more storage and more load. The behavioural effect is what matters. Every team we have spoken to that was on an asset-count plan had made at least one decision about what not to register in order to stay inside a tier.

That is usually the cheap, numerous, mobile equipment: drills, testers, cables, adaptors, hand tools. It is also, reliably, the equipment that goes missing. A register with a deliberate hole in it is a weaker control than its coverage number suggests.

Stackroom's plan limits are on assets too, but generously, and the price ladder is driven by team size and capability rather than by how completely you track. Whether that is cheaper for you depends on your numbers; the pricing page shows current plans, served from the billing API.

Mobile is where most of the real usage happens

For any team whose equipment moves, the majority of interactions with an asset system happen away from a desk — issuing at a counter, scanning on arrival, checking something back in at the end of a shift. If that experience is slow or needs a connection, the register goes stale and everything built on it degrades.

Stackroom's mobile app is offline-first with a local queue: scans, checkouts and returns are recorded on the device and sync when a connection returns, so a basement stockroom or a rural site is not a blocker. Reports of EZOfficeInventory's mobile experience vary by workflow, and it is worth testing your specific one before committing.

What EZOfficeInventory has that Stackroom does not

Purchase orders are the clearest gap. Stackroom holds vendor records and links them to assets, maintenance jobs and cover contracts, so you can report spend by provider — but there is no procurement workflow. If you want raising and approving a PO to live in the asset system, EZOfficeInventory covers that and we do not.

Its configuration depth also extends to areas Stackroom deliberately keeps simple: multi-stage custom approval chains, deeply conditional field logic, and highly specific role scoping. If you are relying on any of those today, list them before you evaluate. We would rather tell you it does not fit than have you find out in month two.
