Maintenance & warranty

Never let maintenance or a warranty quietly slip again

Log issues, track tickets to resolution, and get reminded before warranties expire — so breakdowns and missed claims stop costing you.

The pain

Sound familiar?

  • Maintenance is overdue and you only find out when something breaks.
  • Warranties expire unclaimed because nobody was watching the date.
  • There's no record of what was serviced, when, or by whom.

How Stackroom helps

Everything you need, in one place

Maintenance tickets

Send an asset to maintenance, track the ticket through statuses, and keep the full service history on the record.

Warranty tracking

Store warranty records, filter by expiry, and fire reminders (and webhooks) before they lapse.

Reminders that reach people

Custom and system reminders with snooze, dismiss and done — in an inbox and on the dashboard.

How it runs

What this looks like day to day

  1. 1Record

    Capture the dates that matter

Warranty expiry, service intervals and inspection dates live on the asset record rather than in someone's calendar or head.

  2. 2Watch

    Get warned in advance

Reminders fire before the date, not on it, so there is time to actually book the work or make a claim while cover still applies.

  3. 3Fix

Log the work against the asset

Servicing, repairs and parts are recorded on the asset, building a history that follows it for its whole life.

  4. 4Decide

    Repair or replace, with evidence

Because cost of ownership accumulates on the record, the decision to keep repairing or to replace is made from actual figures.

In detail

The questions that come up next

Why do warranty claims get missed?

Because the expiry date is known at purchase and needed two years later, by which time the person who bought it may have moved on. Attaching the date to the asset rather than to a person is the entire fix, and it is why this is usually the fastest payback on the platform.

Can we schedule recurring servicing?

Yes. Intervals can be time based, such as every six months, and recur automatically so the next occurrence is created when one is completed.

Who gets notified?

Reminders can go to the asset owner, a maintenance team, or a department, so the alert reaches whoever is actually able to act on it.

Does maintenance history affect resale or audit?

It helps both. A documented service history supports resale value and satisfies auditors asking whether equipment has been maintained as required.

FAQ

Questions, answered

How far in advance are we warned?

Lead time is configurable per reminder, so a warranty claim needing paperwork can warn weeks ahead while a routine inspection warns days ahead.

Can we attach documents like receipts or certificates?

Yes. Purchase invoices, warranty documents and service certificates can be attached to the asset, so evidence is with the item rather than in an inbox.

What if servicing is done by an external contractor?

Log the work against the asset with the provider and cost. The history is complete regardless of who performed the work.

Can we track cost of ownership over time?

Yes. Purchase cost plus accumulated repairs gives running cost per asset, which is the figure that tells you when replacing is cheaper than repairing.

Does this replace a full CMMS?

For equipment servicing and warranty tracking it usually does. If you run heavy plant with complex preventive-maintenance regimes and parts inventory, a dedicated CMMS may still fit better, and the API lets both coexist.
