Stackroom

Media & production

Shared gear your whole crew can trust

Bookings, custody and condition tracking for cameras, lenses, lighting and audio — so kit is where it should be and comes back in one piece.

The problem

Sound familiar?

  • Cameras get double-booked across shoots.
  • There's no record of who damaged what, or when.
  • Kit doesn't come back and nobody's tracking it down.

How Stackroom helps

Everything you need, in one place

Bookings & availability

Reserve gear ahead with overlap checks — no more double-bookings.

Condition & damage

Log condition on checkout and return, with photos and signatures.

Kits that move together

Group gear so a full rig checks out and back as one.

How it runs

What this looks like day to day

  1. 1Prep

    Build the kit list

Items that travel together are grouped, so a shoot is booked as one kit rather than a dozen separate reservations that can go out of sync.

  2. 2Book

    Reserve against the shoot dates

Availability is checked as the booking is made, so two productions cannot claim the same body or lens for the same day.

  3. 3Check out

Record condition on the way out

Condition and photos are captured at checkout, which is what makes a damage conversation factual rather than a disagreement.

  4. 4Return

    Inspect and release

Returns record condition again and free the kit for the next booking immediately.

In detail

The questions that come up next

Why does condition capture matter so much here?

Because rental-grade equipment is expensive and damage is common. A photo and a condition note at both ends of a booking turns a dispute into a comparison. Crews behave differently when they know condition is recorded.

Can we manage kits rather than individual items?

Yes. A camera body, lenses, batteries and media can be grouped so the whole package moves as one and nothing is forgotten at load-out.

What about freelancers?

Freelancers can be recorded as holders with signed checkout, so accountability is the same as for staff without giving them broad system access.

Does it handle cross-hire or sub-rental?

Items hired in can be tracked with return dates alongside owned equipment, so off-hire deadlines are not missed at the end of a production.

Equipment reservations, no drama, no double-bookings. Exactly what we needed.

FAQ

Questions, answered

Can we stop two shoots booking the same camera?

Yes. Overlapping bookings are refused at the point of entry rather than discovered on the morning of the shoot.

Can we photograph damage at checkout and return?

Yes. Photos attach to the asset and the booking, giving a dated before-and-after record.

How do we handle kit that always travels together?

Group it as a kit so it is booked, issued and returned as one unit, which is what prevents the forgotten-battery problem.

Can freelancers sign for equipment?

Yes. They sign on the device at handover, so custody is recorded without needing an account with full access.

Does it track serial numbers for insurance?

Yes. Serial numbers, purchase values and photos live on the asset, which is exactly the evidence an insurer asks for after a loss.
